*This position may be filled as Clerk II, or Sr. depending on the qualifications of the successful candidate.*
Provides general office support and performs clerical duties such as routine typing, filing, answering phones, copying, and collating materials. Deliver a high level of customer service to Fleet’s customers.
Perform a variety of highly responsible and confidential administrative duties for Fleet Management involving licensing, invoicing, payroll, work management and general support.
Responsible for the Department of Transportation record keeping for multiple jurisdictions.
Invoice coding, scanning, and entry into Maximo system or other appropriate corporate application
Bulk invoice processing by manipulating Excel file downloads from vendors and importing into Maximo application.
Manage annual re-licensing process for multiple States.
Receive, review, and enter Work Order into Maximo
Assist System Fleet Support Center in answering calls, dispatching and coordinating work activities related to the operation of the Fleet.
Review Maximo system and Time & Labor for accuracy
Assist in coordination of workplace safety audits and preparing associated reports.
Maintain telemetry records and assist with telemetry setup.
OTHER DUTIES MAY INCLUDE:
Execute titles and complete bills of sale for sold or unit transfers
New unit licensing and renewals, calculate fees and taxes, etc.
Assist with recovering warranty reimbursement from vendors
Maintain storm cards and reconcile after each storm event
Records retention custodian for Fleet Management Central Office
Travel to and from meeting locations and Arkansas Department of Finance on routine basis is required.
Maintain P-card and reconcile monthly
Other tasks necessary to support Fleet Management
Some system travel may be required
Minimum experience required of the position
Clerk II: 2-4 years
Clerk Sr 5-7 years
Minimum knowledge, skills and abilities required of the position
Knowledge of Microsoft Office Applications, Entergy Corporate applications (PRF, Time and Labor, PeopleSoft and Maximo). Familiar will all company policies and procedures. Possess excellent communication skills, both written and oral with internal and external customers. Self-starter with high initiative, willingness to learn new processes. Excellent multitasking and team working capability a must. Willing to work extended hours as needed.
